Creating a task
Tasks can be created from a number of places in the platform. The dashboard is a common place to start.
Click Add task to create a new task
Choose who to assign it to
person: assign a task to a particular person (requires a permission setting)
work list: assign to a particular work list
Choose the complexity of the task
What is the minimum level of experience the provider must have to resolve this task?
Level 3: Experience in severe, sensitive, or high-risk conditions and concerns
Level 2: Experience in moderate-risk conditions and concerns
Level 1: All experience levels can address this task
Choose the date when this task should be started
If this is medically urgent, select the checkbox labeled 'Urgent medical concern.'
Choose the patient
in some cases the patient may be pre-selected
Special: if this is a Custom Task, you can edit the title
Add a description that indicates what is important to know to complete this task
Consider including chief complaint, historical context of issue, previous work performed to address it, or directions on where to find more information to resolve the task.
Save your task
Create a task from Messages
You can create a task from within a message thread. The process is the same as creating any other task, except that the patient and message thread will already be attached to the task.
To create a task from a message thread:
Go to a message thread
Select Add Task from the three dot menu
Enter the task details
Create a task from a patient's medical record
You can create a task from within a patient profile. The process is the same as creating any other task, except that the patient will already be attached to the task.
To create a task from a patient profile:
Go to a patient's profile page
Select Add Task from the three dot menu
Enter the task details
Create a task from documents
You can create a task that refers to a particular document. The process is the same as creating any other task, except that the patient and document will already be attached to the task.
To create a task from a patient profile:
Go to a patient's profile page
Use the three dot menu to navigate to Documents
Select Add Task from the three dot menu next to any document
Enter the task details
Create a task from appointments
You can create a task that refers to a particular appointment. The process is the same as creating any other task, except that the patient and appointment will already be attached to the task.
To create a task from the calendar:
Go to the calendar
Select an appointment on the calendar
Make sure the sidebar is open
Go to the task tab in the sidebar
Select Add task
Create your task as usual
Save the task
You will notice that the task will appear in a list attached to that appointment. It will also appear on the dashboard and task page. At any point you can click on View appointment in the task and go to the appointment in the calendar
Creating different task types
Each task type contains information fields that must be filled out before you can save a new task.
Call patient
Use this task to request that a provider call a specific patient.
Required fields:
Patient - select the patient to call
Recommended fields:
Description - provide details describing the reason for the call
Call provider
Use this task to request that a provider call another provider.
Required fields:
Provider - add the provider to call
Recommended fields:
Description - provide details describing the reason for the call
Get ready for appointment
Use this task to remind yourself or another provider to familiarize themselves with a patient's history and chart before the appointment.
Required fields:
Patient - add a patient to refer
Description - enter details about the appointment
Give referral
Use this task to request that a provider refer a patient.
Required fields:
Patient - add a patient to refer
Description - enter details about the referral
Review document
Use this task to request that a provider review a document on a patient's medical record.
Required fields:
Patient - add a patient that has a document attached to their medical record
Document - select a document to review
Recommended fields:
Description - provide details about the reason for the document review
Review medical record
Use this task to request that a provider review certain fields in a patient's medical record.
Required fields:
Patient - add a patient that has a document attached to their medical record
Medical record fields - select the fields to review from the dropdown
Recommended fields:
Description - provide details about the reason for the medical record review
Review monitor
Use this task to request that a provider review a health monitor or monitor reading on a patient's medical record.
Required fields:
Patient - add a patient that has a monitor attached to their medical record
Monitor/reading - select the health monitor or specific monitor reading to be reviewed.
Recommended fields:
Description - provide details about the reason for the monitor review
Review screening
Use this task to request that a provider review a screening taken by a patient.
Required fields:
Patient - add the patient that has been assigned, started or completed a screening
Screening - select a screening result to review
Recommended fields:
Description - provide details about the reason for the review
Schedule in-person appointment
Use this task to request that a provider set up an in-person appointment with a patient.
Required fields:
Patient - add the patient who needs the appointment
Appointment type - select the appointment type that needs to be scheduled
Recommended fields:
Description - provide details such as the provider or worklist that needs to meet with the patient
Schedule virtual appointment
Use this task to request that a provider set up a virtual appointment with a patient.
Required fields:
Patient - add the patient who needs the appointment
Appointment type - select the appointment type that needs to be scheduled
Recommended fields:
Description - provide details, such as the provider or worklist, that needs to meet with the patient
*Note that once this task is created, the person who accepts it can schedule the appropriate appointment with all relevant data in a single click.
Send message
Use this task to request that a provider send a message to a patient.
Required fields:
Patient - you must add a patient that has been assigned, started or completed a screening
Description - provide details about the message to be sent
Recommended fields:
Message - if this is part of an existing message thread, attach that thread to this task
