Start scheduling (and rescheduling) appointment sessions

This article covers:

You can schedule an appointment from the 1.) calendar or by 2.) appointment type.

Scheduling appointments from the Calendar

(recommended)

  1. Select 'Calendar' from the purple navigation bar.

  2. Select 'Schedule' at the top of the screen.

  3. On the calendar, select the appointment date and time OR select the '+ Event' button at the top of the calendar.

  4. Select 'Appointment' from the drop-down box

  5. Select the Appointment type

  6. Enter the patient's name

  7. Enter the appointment start date and time and end date and time

  8. Check that the patient's time zone is correct

  9. Select Location*

  10. Select provider

  11. Enter the reason for the appointment (optional).

  12. Add notes (optional).

  13. Select Save.

*If using an external video service (like Zoom), Select Virtual -External Video Service' and add your ta meeting link (URL) and a meeting ID. This zoom information appears for you and the patient when starting your appointment.

Scheduling by a specific appointment type:

  1. Select 'Appointment Type' from the Calendar page at the top of the screen.

  2. Select the type of appointment

  3. Select 'Schedule Appointment' in the upper right corner of the screen.

  4. Enter the patient's name, reason for appointment, and set the visibility setting for who can view the appointment.

  5. Select Patient Notifications

    1. Toggled on, automated appointment reminders are enabled.

    2. Toggled off, automatic appointment reminders are disabled.

  6. Add a billing code if applicable.

  7. Select the 'Next' button at the bottom of the screen to progress to the next page.

  8. Enter the appointment start date and time and end date and time.

  9. Review time zones for accuracy.

  10. Select the 'Next' button at the bottom of the screen to progress to the next page.

  11. Select the provider for the appointment and the location* of the appointment.

  12. Select Schedule at the bottom right of the page.

*If using an external video service (like Zoom), Select Virtual -External Video Service' and add your ta meeting link (URL) and a meeting ID. This zoom information appears for you and the patient when starting your appointment.


Editing and deleting appointments

  1. Navigate to the patient's appointment from the Calendar

  2. Select the edit icon to edit the appointment

  3. Select the Trash icon to delete the appointment

  4. Edit the Appointment Session information: location, provider, date, and/or time.

  5. Select 'Save' at the bottom of the pop up.

  6. The updated information will appear on the Appointment Details page.


Appointment Reminders

The Appointment reminder feature is located on the appointment details page. Select the appointment to view details to toggle the feature on and off for an appointment.

Automated reminders - 'Patient Notifications' toggled on in the appointment details.

Automated reminders are sent to the patient via text or email when;

  • The appointment is initially scheduled

  • 24 hours before the appointment

  • 1 hour before the appointment.

Manual reminders - 'Patient Notifications' are toggled off in the appointment details.

To manually send an appointment reminder:

  1. Go to the patient's appointment

  2. Under the Patient Information section, select the three dot icon to the right of the patient's name.

  3. Select 'Send Appointment Reminder.'

Appointment reminders read:

"Hi! You’ve scheduled an appointment with (provider’s name) on (date) at (time). Please let us know if you have any questions. You can reach us at (org phone number).”
